Epic Video Factory (“we”, “us” or “our”) makes animated explainer, corporate, educational, commercial and social media videos for clients in Toronto, the Greater Toronto Area, elsewhere in Canada and the U.S. This policy explains what personal information we collect through epicvideofactory.com and when you call or email us, why we collect it, who helps us handle it, and the choices you have. We wrote this policy with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) in mind.
Information We Collect
Information You Give Us
- Contact form. When you use the form on our Contact Us page, we collect your name, email address, phone number and message, along with technical details such as your IP address and browser. We receive your message by email, and the form sends you an email to confirm we got it. A copy of each submission is also kept on our website.
- Email, calls and texts. Anything you send us by email or text, and what you tell us when you call.
- Project details. Information you share while we discuss or produce a video, such as your brief, scripts, logos and feedback.
Phone Calls and Texts
The phone number shown on our site may be a tracking number that forwards to us. When you call or text one of these numbers, our call-tracking provider, WhatConverts, records the number you called or texted from, the time, the length of each call, and the page and traffic source that led to it. Calls to these numbers may be answered by our AI receptionist, an automated voice assistant. Calls may be recorded and transcribed so we can answer your inquiry, route it to the right person, check call quality and screen out spam calls. We also receive a written summary of each call.
Information Collected Automatically
- Analytics. We use Google Analytics, added through Google Site Kit together with Google Tag Manager, to see how visitors find and use our site, such as the pages viewed, approximate location, device and browser. Google Analytics uses cookies to do this.
- Call and inquiry tracking. Our call-tracking provider’s script records which page and traffic source led to a call or a contact form submission, and uses cookies to show you the same phone number during your visit.
- Spam protection and security. Our contact form uses Google reCAPTCHA and an anti-spam service, OOPSpam, to screen submissions. reCAPTCHA looks at your IP address, browser details and how you interact with the page to tell people from bots. OOPSpam checks what you typed in the form, along with your IP address, for spam. reCAPTCHA may also set a cookie on the Contact Us page. Our website host and Cloudflare, which delivers our pages, also process visitor IP addresses to block malicious traffic.
- Videos and icons from other services. Some pages show videos hosted on Vimeo. When a Vimeo player loads or you play a video, Vimeo receives details of your visit, including your IP address and browser, and may set cookies under its own privacy policy. Our pages also load icons from Font Awesome, which receives your IP address and browser details.
How We Use Your Information
We use personal information:
- to answer your questions and prepare a quote
- to plan, produce and deliver your video, and to bill for it
- to understand which pages and marketing channels bring us inquiries
- to keep our site secure, keep spam out of our contact form and phone lines, and check call quality
- to meet our legal and accounting obligations
We don’t sell your personal information.
Who We Share It With
We share personal information only with service providers that help us run the business, and only what they need to do that work:

- WhatConverts: tracking phone numbers, call and text records, call recordings and transcripts, and reports on contact form inquiries.
- HighLevel: our AI receptionist, which may transcribe the calls it answers, and the call summaries and contact details it records.
- OOPSpam: screening contact form submissions for spam.
- Vimeo: playing the videos on our site.
- Font Awesome: the icons on our site.
- Our marketing agency: managing our website, call tracking and AI receptionist, and receiving notices of new inquiries.
Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under the laws there. We may also disclose information when the law requires it, or to protect our rights or someone’s safety.
How Long We Keep It
We keep personal information only as long as we need it for the purposes described in this policy, or as long as the law requires.
How We Protect It
Our site uses encrypted (HTTPS) connections, and we limit access to personal information to the people and service providers who need it to do their work.
Your Choices

- You can withdraw your consent to our use of your information at any time, subject to legal or contractual limits. We’ll tell you what that means for your inquiry or project.
